Overview:

Quantum Search Partners is partnering with our client, a well-established organization known for the scale of its operations and its commitment to operational excellence, on a search for a temporary HR Assistant to join their HR and Payroll team. This is a great fit for an HR professional who wants hands-on ownership of a compliance-critical function and direct visibility with HR leadership.

About the Role

Reporting to HR leadership, this person will take ownership of the Form I-9 correction and compliance process, reviewing employee records for accuracy, coordinating corrections with employees and managers, and keeping documentation organized and audit-ready. You will be a key point of contact for I-9 compliance, with real responsibility for protecting the organization against compliance risk.

What You'll Do

• Facilitate and track I-9 correction efforts, ensuring employee records are reviewed, updated, and completed accurately per company procedures and federal compliance requirements
• Review existing I-9 documentation for missing, incomplete, or inconsistent information and coordinate with employees, managers, and HR leadership to resolve deficiencies
• Communicate directly with employees to obtain required documentation or corrections, maintaining a high level of confidentiality and discretion
• Maintain organized records of correction activity, including status, follow-up items, completion dates, and outstanding documentation needs
• Support data entry, document collection, electronic record updates, and audit preparation related to I-9 compliance
• Escalate complex or sensitive issues to HR leadership and support broader HR administrative projects as needed

What We're Looking For

• Prior experience in HR, compliance, payroll, onboarding, or administrative roles
• Ability to maintain a high degree of confidentiality and handle personally identifiable information appropriately
• Strong attention to detail and the ability to identify missing or inconsistent documentation
• Comfortable communicating with employees and managers on documentation requirements and follow-up needs
• Proficiency with Microsoft Office, Excel, HR systems, and electronic document management tools
• Ability to work independently, manage multiple follow-up items, and meet compliance-related deadlines

Nice to have: Prior experience with Form I-9 requirements, employment eligibility verification, or employee recordkeeping.
